What to automate (and what not to)
- Seasonal tune-up reminders: spring for cooling, fall for heating. Heat pump owners get both.
- Maintenance-plan visits: a reminder a couple of weeks before each included visit, then a confirmation once it's booked.
- Plan renewals: a heads-up about a month before the plan expires.
- Filter reminders: optional, only if you sell or deliver filters.
- Not: blasting your whole customer list with weekly specials. That's how numbers get reported and filtered by carriers.
For reminders about appointments that are already booked (24-hour and 2-hour texts), use our appointment reminder automation. This page is about getting the appointment booked in the first place.
Consent comes first
A tune-up reminder to a past customer is generally treated as marketing: you're asking them to buy a service. For automated marketing texts, the TCPA requires prior express written consent. In practice, add a checkbox to your work order, invoice or booking form: "Text me service reminders and offers from [Company]. Msg & data rates may apply. Reply STOP to opt out." Store the date they agreed. Maintenance-plan members who signed an agreement that includes reminders are in a stronger position, but the same checkbox is cheap insurance. This isn't legal advice; check with your attorney.
Opt-outs must be honored by any reasonable means within 10 business days, and telephone solicitations are limited to 8am to 9pm local time. Schedule sends for mid-morning on weekdays.
The data you need
One row per system (not per customer) in your software or a Google Sheet: customer name, mobile, consent date, system type (AC, furnace, heat pump, boiler), last service date, plan member yes/no, plan renewal date, and a Reminder Sent column so nothing double-sends.
How to build it
- ServiceTitan: check its built-in marketing and membership features first. Its Zapier app exposes New Job, Updated Job and installed-equipment triggers (ServiceTitan on Zapier), so completed jobs can update a reminder sheet automatically.
- Housecall Pro: Zapier's New Completed Job trigger (Housecall Pro on Zapier) can add or update the row with today's date as the last service date.
- Jobber: use the Job Closed trigger (Jobber on Zapier) the same way.
- The reminder run itself (Zapier, Make or n8n): a daily schedule trigger looks up rows where consent is yes, the season matches the system type, the last service is more than ~10 months ago, and Reminder Sent is empty for this season. It sends the text (Twilio, Quo or your texting tool), then writes the date to Reminder Sent.
- Batch it. Send to 30 or 50 people a day rather than everyone at once, so replies arrive at a pace your office can book.

Timing tips
- Start cooling reminders a few weeks before your local hot season, and heating reminders before your first cold snap. Adjust to your climate.
- Ask for a reply (YES) rather than a click. Many homeowners prefer a call, and a YES gives your office a list of warm calls.
- One follow-up, then stop until next season.
- Watch the inbox the day you send. Questions like "how much?" need a human answer quickly.
Frequently asked questions
Do I need consent to send HVAC maintenance reminder texts?
Tune-up reminders are generally treated as marketing, so get prior express written consent (a checkbox with clear wording) before sending automated texts. Keep a record of when each customer agreed.
When should HVAC companies send tune-up reminders?
Send cooling reminders a few weeks before your hot season and heating reminders before the first cold weather. Batch the sends so your office can handle the replies.
How many reminders should I send?
One reminder plus one follow-up a week later is enough. Stop there until next season unless they reply.
Can I automate this from ServiceTitan, Housecall Pro or Jobber?
Yes. Use their completed-job triggers on Zapier (ServiceTitan Updated Job, Housecall Pro New Completed Job, Jobber Job Closed) to keep last-service dates current. Then a daily scheduled run sends reminders to people who are due.
