Why HVAC shops miss the calls that matter most
HVAC demand is weather-driven. Calls spike in heat waves and cold snaps, exactly when every tech is already booked. The customers calling then are also the least patient: no heat with kids in the house, no AC for an elderly parent. In an r/hvacadvice thread, techs and owners point out that bigger shops have a dispatcher, but leaks still happen after hours, at lunch, during peak-season overflow and on web forms nobody treats as urgent.
ServiceTitan's own platform data shows the size gap clearly: shops with 10 or fewer technicians booked 30% of calls, while shops with more than 50 technicians booked 58%, and 10.7% to 12.1% of trades calls arrive outside business hours. Small shops can't staff the phone like a big one, which is why an automatic first reply matters more for them.
The HVAC version of the flow
- The call isn't answered (tech on a roof, dispatcher on another line, or after hours).
- Within a minute the caller gets a text naming your company that asks heating or cooling, what's happening, and the address.
- Replies containing emergency words (no heat, no AC, carbon monoxide alarm, water leaking from the unit) alert the on-call person.
- Routine replies (tune-up, quote for a new system, thermostat question) go to a callback list or get your booking link.
- Every missed call is logged so you can see the peak-season gap in black and white.
The build itself (Twilio, avoiding the voicemail gotcha, the Zapier, Make and n8n steps) is in the general missed call text back guide. Below is what changes for HVAC.
Fit it to your HVAC software
- ServiceTitan: check its built-in phone, texting and answering features first; larger shops often already have them. Its Zapier app is extensive, with triggers like New Call, New Lead and New Job and actions like Create Lead Form and Create Booking (ServiceTitan on Zapier), so a missed-call reply can become a lead your CSRs work from the usual screen.
- Housecall Pro: the text comes from your phone system; Housecall Pro's Zapier app can Create Customer from the caller's number and name (Housecall Pro on Zapier).
- Jobber: use Zapier's Jobber > Create Request action so the reply lands in your requests list (Jobber on Zapier).
- Quo (formerly OpenPhone): the Incoming Call Completed trigger leaves answeredAt empty for unanswered calls (Quo on Zapier), which is an easy filter. Send the reply with Quo's Send a Message action.
Seasonal triage rules
A missed no-heat call in January and a missed tune-up question in April are not the same. Route by keyword (a Zapier Filter or n8n IF node), or add an AI step that labels each reply URGENT or ROUTINE. Keep it as an alert to a person, not an automatic dispatch.
no heat, not heating, furnace out, furnace won't, no ac, no air, not cooling, ac out, blowing warm, blowing hot, carbon monoxide, co alarm, gas smell, smell gas, burning smell, smoke, water leaking, ice on, frozen coil, breaker keeps tripping, elderly, baby
If a caller mentions a carbon monoxide alarm or a gas smell, your reply should tell them to leave the building and call 911 or the gas utility from outside. Don't let automation try to troubleshoot that.
Copy-paste HVAC scripts
Hi, it's [Company] Heating & Cooling. Sorry we missed your call, our team is on jobs. Is this for heating or cooling, and what's happening? Reply with your address and we'll get you on the schedule. Reply STOP to opt out.
Hi, it's [Company]. Calls are heavy today, sorry we missed you. If you have NO heat or NO cooling, reply NOW with your address and we'll prioritize you. For tune-ups and quotes, book here: [booking link]. Reply STOP to opt out.
Hi, it's [Company]. We're closed, but if you have no heat or no AC, call our after-hours line: [number]. Otherwise reply with what's going on and we'll call you after [time] tomorrow. If a CO alarm is sounding, leave the house and call 911. Reply STOP to opt out.
Thanks [Name]! For a tune-up or estimate, here's our booking link: [link]. If you can, send a photo of the unit's data plate (the sticker with model and serial) so our tech brings the right parts.
Thanks, we've flagged this as urgent. [Tech/Dispatcher name] will call you within [X] minutes. In the meantime, check the thermostat is set to HEAT/COOL and the breaker for the unit hasn't tripped.
Timing and details that matter in HVAC
- Ask heating or cooling first. It tells you which tech and which parts before you call back.
- Ask for the data plate photo on non-emergencies. Model and serial numbers save a diagnostic trip.
- Turn on the peak-season script with one switch. In Zapier, a Path or a lookup to a one-cell Google Sheet ("mode: normal/peak") lets the office flip the message without editing the Zap.
- Feed replies into maintenance-plan sales later. Callers who ask about tune-ups are your best candidates for HVAC maintenance reminders.
Texting rules
- A single reply to an inbound caller is low risk, but always identify your company and include opt-out wording.
- Honor opt-outs made by any reasonable means within 10 business days under the FCC's consent-revocation rule, and make sure STOP turns off every automation for that number.
- Register your sending number for A2P 10DLC (or toll-free verification) before going live.
- Don't add callers to seasonal promotions without separate written consent for marketing texts. Not legal advice; ask your attorney about your state's rules.
Frequently asked questions
Does ServiceTitan have missed call text back built in?
ServiceTitan offers its own phone and communication features, so check your account and plan first. If you need a custom flow, its Zapier app has triggers such as New Call and actions such as Create Lead Form and Create Booking.
What should an HVAC missed-call text ask?
Three things: heating or cooling, what's happening, and the address. That's enough to judge urgency and send the right tech.
Should I send a different message in peak season?
Yes. A peak-season script asks no-heat and no-cooling callers to reply right away and sends tune-up and quote requests to your booking link, so the urgent calls get seen first.
How do I handle carbon monoxide or gas mentions?
Never troubleshoot those by text. The reply should tell them to leave the building and call 911 or the gas utility from outside, and alert your on-call person.
Can I send tune-up promotions to people who called?
Not just because they called. Promotional texts need separate written consent. Ask for it on your booking form or work order, then use a separate reminder flow.
