First: check your booking tool's built-in reminders
Calendly (Workflows, on paid plans), Acuity Scheduling, Square Appointments and most other booking tools have reminder emails or texts built in. If yours does, turn that on before building anything — it's already connected to your bookings and handles cancellations correctly. Use Zapier when you need something the built-in feature can't do: texts from your own number, different wording per service, a prep note for you, or reminders for appointments that don't come through a booking tool.
The reminder schedule that works for most businesses
- Confirmation immediately after booking — date, time, location, what to prepare, and a reschedule link.
- Reminder 24 hours before — short, with the reschedule link. This is the one that frees up slots.
- Optional same-day nudge, 2 hours before — address and 'running late? just reply'.
More than that usually feels like nagging.
Zap 1: booking confirmation (Calendly)
- Trigger: Calendly › Invitee Created (the event that fires when someone books).
- Optional: Formatter by Zapier to format the date and time in your time zone.
- Action: Gmail › Send Email or Twilio › Send SMS with the confirmation template, including the invitee's reschedule link from Calendly.
Zap 2: 24-hour reminder (Google Calendar)
- Make sure your booking tool writes appointments to a Google Calendar, ideally a dedicated 'Appointments' calendar.
- Trigger: Google Calendar › Event Start, with the time-before setting at 24 hours, on that calendar only.
- If the customer's phone or email lives in the event description, use Formatter by Zapier › Text › Extract Phone Number or Extract Email Address.
- Filter by Zapier: continue only if a phone number was found (and skip events like 'Lunch' or 'Blocked').
- Action: Twilio › Send SMS with the reminder template.
Duplicate Zap 2 with a 2-hour time-before for the same-day nudge if you want one.
Bonus: a prep note for you
Add an AI step to Zap 1 that turns the booking form answers into three bullets — what they want, anything unusual, one question to ask — and email it to yourself. It's a small thing that makes you look prepared.
CONFIRMATION (email)
Subject: You're booked — {{Event Type}} on {{Date}}
Hi {{First Name}}, you're confirmed for {{Date}} at {{Time}}. To make the most of it: [what to prepare / where to park]. Need to change it? {{Reschedule Link}}
24-HOUR REMINDER (SMS)
Hi {{First Name}}, reminder of your [Business Name] appointment tomorrow at {{Time}}. Need to reschedule? {{Reschedule Link}}. Reply STOP to opt out.
2-HOUR NUDGE (SMS)
See you at {{Time}} today, {{First Name}}! Address: [address]. Running late? Just reply here. — [Business Name]Common mistakes
- No reschedule link. Without an easy way to move, people who can't make it simply don't show up.
- Wrong time zone. Check your Zapier account time zone and the format of the times in your messages.
- Reminding cancelled appointments. If cancellations don't remove the calendar event, add a filter on the event status or title.
- Texting without consent or registration. Only text people who gave you their number for the appointment; US business texting from 10-digit numbers needs A2P 10DLC registration.
- Health details in messages. For clinics and therapists, keep reminders generic — no diagnosis or treatment details in a text.
Make and n8n versions
In Make: Calendly › Watch Events for confirmations, and a scenario every 15 minutes using Google Calendar › Search Events for a 24-hours-ahead window, then Twilio. In n8n: the Calendly Trigger for confirmations, and a Schedule Trigger with the Google Calendar node and Twilio node for reminders. If you're not sure which tool to pick, see our n8n vs Zapier comparison.
What to do when someone replies
Reminders invite replies, so decide in advance where they go. With Twilio, replies to your number can be forwarded to your phone or email, or logged in a sheet with a second Zap that uses the Twilio › New Received SMS trigger (check the exact trigger name in your account). Answer reschedule requests personally, and if you offer a cancellation list, a freed-up slot is a good moment to text the next person on it yourself.
Also decide what happens with late cancellations. If you have a policy, put it in the confirmation message rather than the reminder, so people see it once, clearly, when they book.
Measure your no-show rate
Count no-shows for a month before and after. Most booking tools report cancellations and no-shows; if yours doesn't, a tally in a sheet is enough.
