Start with the software you schedule in
Lawn care platforms such as Jobber and LawnPro include automations. LawnPro, for example, advertises triggers like visit completed, invoice past due and estimate sent. Jobber has built-in quote follow-ups and invoice follow-ups (Connect plan and up), each sending up to two reminders, up to 90 days out (Jobber help). Use those first, then fill gaps with Zapier, Make or n8n. Jobber's Zapier app exposes triggers like New Request Created, Quote Sent, Job Closed and New Invoice Created (Jobber on Zapier).
1. Rain-delay and schedule-change texts
Weather is the one thing that changes every lawn route. Instead of texting each client by hand, keep the day's route in your software or a sheet, mark the day "rain delay", and let one automation text everyone on that route with the new day.
Hi [Name], it's [Company]. Rain has pushed today's mowing to [new day]. No need to do anything; we'll be there then. Reply STOP to opt out.
Hi [Name], [Company] here. We're running about [X] hours behind today and will still get to your lawn by [time]. Thanks for your patience!
2. Seasonal sign-up and renewal reminders
The busiest lawn businesses fill next season's route before it starts. Send last season's clients a renewal message a few weeks before your start date, and a fall clean-up or aeration offer near the end of the season. These are marketing messages, so send them only to clients who agreed to receive offers.
Hi [Name], it's [Company]! Mowing season starts [date]. Want to keep your [weekly/every-2-weeks] spot on [weekday]? Reply YES to lock it in. Reply STOP to opt out.
Hi [Name], [Company] here. We're booking fall [clean-ups/aeration] for [month]. Want us to add your property? Reply YES and we'll send the price. Reply STOP to opt out.
3. Fast replies to new requests and estimates
Spring is when everyone calls at once. An instant reply to website requests (AI lead follow-up) and a missed-call text (missed call text back for contractors) keep leads warm while you're on a mower. Once you've quoted, run a short estimate follow-up sequence.
Thanks for reaching out to [Company]! To quote your lawn: what's the address, and are you looking for weekly mowing, a one-time clean-up, or landscaping work? We'll reply with a price or a visit time today. Reply STOP to opt out.
4. Review requests after the first few visits
Ask new clients for a review after their second or third mow, once the lawn looks consistently good, rather than after the first visit. Landscaping projects (planting, hardscape) get a review request when the project is finished. See automate Google review requests for the build.
Hi [Name], thanks for trusting [Company] with your yard this season! If you're happy with how it's looking, a quick Google review would mean a lot: [review link]
5. Get paid without chasing
- Card on file and auto-pay for recurring mowing clients is the single biggest admin saver. Most lawn care software supports it.
- For clients who pay invoices, use built-in invoice follow-ups or our automatic invoice payment reminders sequence.
- Send monthly invoices for weekly services instead of one per mow, so there are fewer invoices to chase.
Hi [Name], it's [Company]. Our records show the [month] invoice for [amount] is still open. You can pay here: [link]. If you've already paid, thanks, and please ignore this!
6. A daily route sheet for your crew
An evening email or text to each crew lead with tomorrow's addresses, gate codes, mow height notes and "don't mow the back corner" requests saves the morning phone calls. If you schedule in a spreadsheet, a daily Zapier or n8n run can send this; most lawn software has route views that do it for you.
Texting rules
- Rain delays and schedule changes for existing clients are service messages. Renewals, upsells and seasonal offers are marketing, which needs prior express written consent. Add a checkbox to your sign-up form.
- Honor opt-outs by any reasonable means within 10 business days, and keep marketing texts between 8am and 9pm local time.
- Not legal advice; check your state's rules.
Frequently asked questions
What is lawn care automation?
For a lawn care business, it means letting software send the repeat messages and tasks: rain-delay texts, seasonal renewals, request replies, estimate follow-ups, review requests and payment reminders.
How do I tell all my clients about a rain delay at once?
Keep each day's route in your software or a Google Sheet. Mark the day as delayed, and have one automation text every client on that route with the new day.
Does Jobber automate lawn care follow-ups?
Jobber has built-in quote follow-ups and invoice follow-ups (up to two reminders each, up to 90 days out) on its Connect plan and up. Its Zapier app adds triggers like Quote Sent and Job Closed for custom flows.
When should I ask lawn care clients for a review?
After the second or third visit for recurring mowing, or when a landscaping project is finished.
