Before you automate: where your bookings live
Most cleaning businesses use either a field-service app (Jobber, Housecall Pro), a cleaning-specific tool (ZenMaid, BookingKoala and similar), or a calendar and a spreadsheet. Check what your app already does: Jobber, for example, has built-in quote and invoice follow-ups on its Connect plan and up (Jobber help). Build with Zapier, Make or n8n only for the gaps.
1. Instant reply to quote requests
Cleaning quotes are price-shopped, and the first company to reply with a clear next step often gets the walkthrough. Send an instant text or email when a website form or Facebook lead comes in, asking the three questions you need to price the job. The full build is in AI lead follow-up; missed phone calls are covered by missed call text back.
Hi [Name], thanks for contacting [Company]! To get you a quote fast: 1) How many bedrooms and bathrooms? 2) One-time, weekly, every 2 weeks or monthly? 3) Any pets? Reply here, or book a quick walkthrough: [link]. Reply STOP to opt out.
2. Day-before access and prep text
Locked doors and unexpected dogs waste more cleaning time than anything else. A day-before text that pulls the client's own access notes (key lockbox, alarm, pets) from your system prevents most of it. In Jobber, use its built-in visit reminders; on Zapier, Jobber's New Job Created and Housecall Pro's New Scheduled Job triggers can feed a custom flow (Jobber, Housecall Pro).
Hi [Name], [Company] is scheduled for tomorrow, [Day], arriving between [window]. We have your entry notes as: [access notes]. Anything changed (codes, pets, rooms to skip)? Just reply. Reply STOP to opt out.
3. Post-clean check-in and review request
A few hours after the clean, ask how it went. Happy clients get your Google review link; anything else goes to you first. Ask first-time clients after their first clean, and recurring clients after the second or third visit. The full setup is in automate Google review requests.
Hi [Name], your home is all done! How did everything look? Reply 1-5 (5 = perfect). If anything was missed, tell us and we'll make it right.
Thank you! If you have a moment, a quick Google review helps a small cleaning business a lot: [review link]
4. Turn one-time cleans into recurring
A week after a one-time or move-out clean, offer a recurring slot. This is a marketing message, so only send it to clients who agreed to receive offers.
Hi [Name], it's [Company]. Hope the house is still sparkling! We have a regular [every-2-weeks] spot open on [weekday]. Want it? Reply YES and we'll set it up. Reply STOP to opt out.
5. Payment reminders
For clients who pay after each visit, send a polite reminder when an invoice is past due. Our automatic invoice payment reminders guide has a day 0/7/14 sequence; if you use Jobber, its invoice follow-ups do the same thing natively. Better still for recurring clients: card on file with automatic charging, so there's nothing to chase.
6. Team schedule and change alerts
If you have cleaners in the field, send each one the next day's addresses and notes in the evening, and alert the assigned cleaner when a client changes access notes. A Google Sheet plus a daily scheduled Zap or n8n workflow that emails or texts each cleaner their list is enough for a small team.
Tomorrow ([Day]): 1) [time] [client first name], [address]. Notes: [access, pets]. 2) [time] [client], [address]. Notes: [notes]. Reply OK to confirm.
Never put alarm codes or lockbox codes in a group chat or a text to a client. Keep them in your app, and send codes only to the assigned cleaner, the morning of the clean.
Which to set up first
- Solo cleaner: 1 (quote reply), 2 (day-before access text) and 3 (review request).
- Small team: add 6 (team schedule) and 5 (payment reminders).
- Growing recurring base: add 4 (recurring offers) and track how many one-time clients convert.
Texting rules
- Visit reminders and replies to inquiries are transactional. Recurring offers and promotions are marketing and need written consent, such as a checkbox on your booking form.
- Honor opt-outs by any reasonable means within 10 business days.
- Register your texting number (A2P 10DLC) with your provider. Not legal advice.
Frequently asked questions
What can you automate in a cleaning business?
The repetitive messages: quote-request replies, day-before access reminders, post-clean check-ins and review requests, recurring offers, payment reminders and daily team schedules.
What should I automate first?
An instant reply to quote requests, then day-before access texts, then review requests. They save the most time and win the most work for small cleaning businesses.
Do I need Zapier if I use Jobber or Housecall Pro?
Not for everything. Jobber has built-in visit reminders and quote and invoice follow-ups. Use Zapier for gaps, such as custom review flows or team schedule texts.
Is it safe to text door codes to cleaners?
Send codes only to the assigned cleaner, ideally on the day of the clean, and keep them out of group chats and client-facing texts.
