Turn on your booking app's reminders first
Salon booking platforms include reminders, so you rarely need Zapier for this. Two examples, checked against their help centers:
- Square Appointments: SMS and email reminders are set under Appointments > Settings > Communications, and you can schedule them from 1 hour to 3 days before the appointment and customize the wording (Square help).
- Vagaro: appointment reminders are enabled in the booking notification settings with a lead time you choose (Vagaro help). Vagaro can also require a credit card on file to book and charge a no-show fee (Vagaro card-on-file help).
- GlossGenius, Fresha, Boulevard and others have similar settings. Look for "reminders" or "client notifications".
Where automation tools still help: sending a rebooking nudge a few weeks after a visit, pulling no-shows into a list, or asking for a Google review after a first visit. The general timing logic is in our appointment reminder automation guide.
Reminder timing for salons
- At booking: confirmation with service, stylist, time, and a link to your policy.
- 48 hours before: reminder with an easy reschedule link. This is the one that matters for your cancellation window, because it lands before the cut-off.
- Morning of (or 2-3 hours before): short "see you today" text.
- 4-6 weeks after (cuts and color): rebooking nudge to clients who haven't booked their next visit.
If your cancellation policy is 24 hours, the 48-hour reminder gives clients a full day to cancel without penalty, which is fairer and fills more gaps than a reminder that arrives after the window has closed.

A no-show policy you can paste
Searches for a "salon no show policy" are common for a reason: the policy only works if clients see it before they book, and reminders repeat it. Adapt this, keep it short, and link it from your booking page and confirmation text.
We save your time just for you, so we ask for at least [24] hours' notice to cancel or reschedule. You can reschedule online anytime: [link]. - Late cancellations (under [24] hours): [fee or % of service] - No-shows: [fee or % of service], charged to the card on file - Running more than [15] minutes late may mean a shorter service or rescheduling We understand emergencies happen. Just let us know.
If you charge fees, make sure clients agree to the policy when they book (most booking apps have a checkbox or card-on-file setting for this). Check any local rules on cancellation fees.
Fill the gaps when someone cancels
A cancellation 48 hours out is only useful if someone takes the slot. Keep a short waitlist of clients who asked to be told about openings (most booking apps have one; a Google Sheet works too). When a slot opens, text the waitlist with first-reply-wins wording, and only to clients who agreed to these messages.
Hi [Name], an opening just came up with [Stylist] on [Day] at [Time] for [service]. Want it? Reply YES and it's yours if you're first. Reply STOP to opt out.
Texting rules for salons
- Reminders about a booked appointment are transactional. Rebooking nudges and promotions ("20% off color this week") are marketing and need prior express written consent. A checkbox at booking covers this.
- Honor opt-outs by any reasonable means within 10 business days. Most booking apps handle STOP automatically; test it.
- Send promotions only within 8am to 9pm client local time, and preferably during your open hours.
Frequently asked questions
When should a salon send appointment reminders?
A good default is a confirmation at booking, a reminder 48 hours before (before a 24-hour cancellation cut-off) and a short day-of reminder.
What should a salon reminder text say?
Who it's from, the service, stylist, date and time, and a one-tap way to reschedule. Link your cancellation policy in the confirmation.
Does Square Appointments send reminder texts automatically?
Yes. Square Appointments can send SMS and email reminders, scheduled from 1 hour to 3 days before the appointment, with customizable wording.
Can Vagaro charge a no-show fee?
Yes. Vagaro can require a credit card on file to book and lets you charge a no-show or late-cancellation fee based on your settings.
Are rebooking texts allowed?
Rebooking nudges are marketing messages, so get written consent (a checkbox at booking) before sending them automatically, and include opt-out wording.
